Camp Policies

Water Safety

Safety is the primary concern of all our activities, especially at the waterfront. Here are some of the precautions we take for water-based activities:

  • All campers and staff must wear a Personal Floatation Device during all water activities, including swimming
  • Waterfront is supervised by a certified lifeguard (National Lifeguard Service Award)
  • Staff swim with campers at a minimum ratio of 1:5
  • Access to waterfront is restricted and all campers and staff must enter and exit swimming area at designated spot. All swimmers must check in with staff person when entering or exiting swimming area. A written log is kept of everyone who is currently swimming. Campers must swim with a buddy at all times and regular buddy checks are performed throughout the swim time.
  • Kinder Campers do not participate in swimming.

 

Policy regarding Nuts and Nut Products

For the safety of all our campers, NUTS AND NUT PRODUCTS ARE PROHIBITED FROM DAY CAMP PROGRAMS

Why are nuts and nut products not permitted at Summer Day Camp?

For the safety of all our campers, Summer Day Camp strives to provide a nut-free environment. This means that parents must exclude all nuts and nut products from all lunches and snacks. Our overnight camps are not a nut free environment.

Many children and adults have severe allergies to nuts and nut products. The allergic reaction can include anaphylactic shock, a reaction that, if left untreated, can cause death in a matter of minutes. Some peopleís allergy to nuts is so sensitive that even coming into contact with trace amounts of nuts or nut products can induce this severe reaction. Many of our day campers come to us with these allergies and others may have these allergies and not yet know it. Hence, Summer  Day Camp has adopted a policy prohibiting nuts and nut-products. We require and appreciate your cooperation in ensuring our camp is nut-free.

What can you do to provide a nut-free meal?

Many products, such as peanut butter, are easy to spot for their nut content. The problem in preparing nut-free meals is that many products can contain nut oil or other nut products, without them appearing as an obvious ingredient. Please be sure to read all product ingredient labels very carefully. Even small amounts can induce allergic reactions. Ingredient listings will often state that the product may contain trace amounts of nuts.

What does FortWhyte Alive do to enforce this policy?

As you sign your child into camp each day, our staff will verbally verify that there are no nuts/nut products in your childís lunch or snack. If there has been an oversight and there are nuts/nut products, we will request that these be removed. At snack and meal times, counsellors will also check with children to ensure that there are no nuts. If a child has an item that contains nuts, they will eat separately from the group, supervised by their counselor. Children who have consumed nuts will be required to wash their hands immediately after their snack.

Why Garbageless Lunches and Snacks?

Waste management is a pressing environmental concern. The average family discards about 1460 kg or 3219 lb. of garbage a year. At present rates, each of us will generate an average of 50 tonnes of solid waste during our lifetime.

Environmental education is the primary mandate of FortWhyte Alive. During their week-long adventures, children are introduced to nature and the various ways they, as individuals, can make small but important contributions to the future well-being of our planet. One such way is through reducing the amount of garbage used in packaging lunches and snacks.

Here are some pointers to help you prepare garbageless lunches and snacks:

  • REDUCE Avoid over-packaged items such as cheese and cracker snacks, individually packaged yogurts and puddings, or pre-packaged, ’deli’ lunches.

  • REUSE With the many sizes and shapes of Tupperware available, you can pack just about anything in a reusable container. Old sour margarine tubs are also great for replacing plastic wrap! Thermoses are excellent for hot or cold lunches. Use reusable nylon or cloth lunch bags to carry food.

  • RECYCLE FortWhyte has collection bins for aluminum cans, glass and plastic. There is also an active compost program for organic food wastes such as fruit peels and cores.

 

Refunds and Cancellations

Cancellations received less than 4 days prior to start of camp session will not receive any refund of fees, unless a doctor’s certificate stating medical reasons is presented to the camp. Cancellations received 4 to 6 days prior to start of camp session will be refunded 50% of fees. Cancellations received 7 or more days in advance of camp session will be refunded 90% of fees.

In accordance with the Personal Information Protection and Electronic Documents Act, names, addresses, or other personal information collected by FortWhyte Alive will only be used for internal purposes such as informational mailings, membership renewals and other communications, and will not be shared with any third party. You have the right to request that your name and other information not be used for any internal FortWhyte Alive marketing purposes. FortWhyte Alive understands that the privacy and security of your personal information is important to you. We are committed to ensuring that the information you share with us is recorded accurately, retained securely, and used only according to your wishes.

  • WHAT During the course of our relationship we may collect some personal information. This may include your name, street and email addresses, phone and fax numbers and credit card information. We may also have a record of your purchases and donations. We sometimes have more detailed information from members, volunteers, donors and others who have been dedicated and long-term supporters of FortWhyte Alive. This may include, for example, the names of members of their family, business addresses and special interests, or campersí medical information.

  • WHEN Most of this information is collected when you volunteer, take out a membership, make a donation, attend a FortWhyte camp or make a purchase in The Nature Shop. It may come to us through your phone call, mail or email, or when you come to the Centre.

  • WHY We need this information for membership renewal purposes, to fully engage you as a volunteer, to mail your charitable income tax receipt, to mail your newsletters and camp information, to contact you about changes in schedules or upcoming events, or to notify you of special offers: in short, to provide the high level of service you have come to expect from us.

  • WHERE Only authorized personnel have access to this information and it will not be disclosed for purposes other than those for which it was collected without your prior consent. Manual and technological safeguards are in place to ensure proper security.

  • HOW With your consent, we will communicate with you or send you information that we believe to be of interest to you. We are also committed to ensuring that members, donors, volunteers and customers do not receive an unreasonable number of letters, emails or phone calls.

On occasion, FortWhyte Alive may engage an outside mail-house to facilitate a special large mailing and will provide that agency with names and addresses from our files. FortWhyte Alive will ensure that any such agency is contractually bound to the same strict privacy controls that we use ourselves.

FortWhyte Alive is committed to assessing new technology for protecting customer information on an ongoing basis.

FortWhyte Alive provides links to some third party sites. As we do not control those sites, Fort Whyte encourages users to learn about their particular privacy policies.
